Terms & Conditions
Last updated: 30 July 2026
1. Acceptance of terms
By creating an account or using the Gaffer App service at mygaffer.co.uk ("the Service"), you agree to be bound by these Terms & Conditions. If you do not agree, do not use the Service.
These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
2. About the Service
Gaffer App ("Gaffer", "we", "us") is a football session management tool for amateur organisers. It allows you to manage player squads, RSVP lists, team line-ups, and session history. The Service is operated by Gaffer App and can be contacted at info@mygaffer.co.uk.
3. Eligibility & accounts
You must be at least 13 years old to create a Gaffer account. If you are under 18, you confirm you have a parent or guardian's permission to use the Service. You are responsible for maintaining the confidentiality of your password and for all activity that occurs under your account. Notify us immediately at info@mygaffer.co.uk if you suspect unauthorised access.
You must provide accurate information when registering. We reserve the right to suspend or terminate accounts that provide false information or violate these terms.
4. Pricing & match fees
Gaffer is free to use, with no subscription plans or paid tiers. We do not currently charge for access to the Service.
Match fees are a real-world payment for a real-world service — pitch hire and other costs of running a session — set entirely at the organiser's discretion, and paid directly between a player and their organiser. Gaffer is not a party to that transaction; we provide Stripe Connect purely as the payment rail. A processing fee applies to each match fee payment, which is disclosed before the payment is confirmed. Refunds, credits, and disputes over match fees are between the player and the organiser who set them — see our FAQ for how organisers typically handle a cancelled session.
5. Your data and player data
You own the squad and session data you create in Gaffer. By using the Service you grant us a limited licence to store and process that data solely to provide the Service to you.
As an organiser you are responsible for ensuring you have the right to enter other people's names and information into the Service. You must not enter personal data of individuals who have not given you permission to do so. Where players RSVP via a link you share, their response constitutes consent for us to store their attendance data on your behalf.
For full details of how we handle personal data, see our Privacy Policy.
6. Acceptable use & user-generated content
You agree not to:
- Use the Service for any unlawful purpose or in violation of any regulations
- Attempt to gain unauthorised access to another user's account or data
- Use automated tools to scrape, crawl, or abuse the Service
- Upload or transmit malicious code
- Resell or sublicense access to the Service without our written consent
- Impersonate any person or misrepresent your affiliation with any entity
We reserve the right to suspend or terminate accounts that violate these rules without prior notice or refund.
User-generated content
Some parts of Gaffer are visible to other people beyond the person who entered them — squad and team names, match reports and scores, and Player of the Match votes are all shown on public League Hub and match report pages that don't require a login to view. You agree that anything you submit to these public surfaces (a team name, a match report, etc.) will not be obscene, defamatory, harassing, hateful, or otherwise unlawful, and will not impersonate or misrepresent a real person.
Anyone viewing this content can flag it for review using the report button on the relevant page. We may, at our discretion and without prior notice, hide, edit, or delete any user-generated content that violates these terms, and suspend or terminate the account responsible for it. League commissioners and session organisers may also moderate content within leagues and sessions they manage.
7. Intellectual property
The Gaffer App name, logo, design, and all software are the intellectual property of Gaffer App. Nothing in these terms grants you any right to use our trademarks or branding.
You retain ownership of the content you create (squad names, session names, etc.). You grant us a non-exclusive, royalty-free licence to store and display it solely for the purpose of providing the Service.
8. Availability and changes to the Service
We aim to keep Gaffer available at all times but do not guarantee uninterrupted access. We may carry out scheduled maintenance with reasonable notice where possible.
We reserve the right to modify, suspend, or discontinue any part of the Service at any time. We will provide reasonable notice of material changes. If we discontinue the Service entirely, we will provide at least 30 days' notice.
9. Disclaimer of warranties
The Service is provided "as is" and "as available" without warranties of any kind, express or implied, including but not limited to fitness for a particular purpose or non-infringement. We do not warrant that the Service will be error-free or uninterrupted.
10. Limitation of liability
To the fullest extent permitted by law, Gaffer App shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or goodwill, arising out of or in connection with your use of the Service.
Our total liability to you for any claim arising under these terms shall not exceed the total amount you paid to us in the 12 months preceding the claim, or £50, whichever is greater.
Nothing in these terms limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.
11. Third-party services
The Service integrates with third-party providers including Stripe (payments) and Supabase (data storage). Your use of those services is subject to their own terms and privacy policies. We are not responsible for the availability or conduct of third-party services.
WhatsApp connectivity
WhatsApp broadcast notifications are an optional feature that an organiser or league commissioner can turn on from the web app — it requires pairing your own WhatsApp number independently (via a QR code), and is never turned on by default or on anyone else's behalf. Using this feature means you are also bound by WhatsApp's own Terms of Service and Meta's platform policies, and you are responsible for your own compliance with them. We are not affiliated with, endorsed by, or a WhatsApp Business Solution Provider on behalf of, WhatsApp or Meta.
12. Termination
You may delete your account at any time from your account settings, or by emailing info@mygaffer.co.uk — see our account deletion page for the full process, what's removed, and what we're required to retain.
If you organise sessions or commission leagues with no other stakeholders in them — no co-organiser, no player who has claimed their own stats, no other team manager — deleting your account permanently deletes that content along with your identity, immediately and irreversibly. If other real people have a stake in a session or league you own (a co-organiser, a player who has claimed their history, or another manager), instant self-service deletion is not available for that account, since transferring ownership of shared data is a decision we handle manually rather than automate — email us and we'll arrange it directly with you.
We may suspend or terminate your account if you breach these terms, if required by law, or if we decide to discontinue the Service. In the event of termination for breach, no refund will be issued.
13. Changes to these terms
We may update these terms from time to time. We will notify you by email or in-app notice at least 14 days before material changes take effect. Continued use of the Service after that date constitutes acceptance of the updated terms. If you do not accept the changes, you may cancel your account before they take effect.
14. Governing law and disputes
These terms are governed by the laws of England and Wales. Any dispute arising from these terms or your use of the Service will be subject to the exclusive jurisdiction of the courts of England and Wales.
If you are a consumer resident in another part of the United Kingdom, you may also have the right to bring proceedings in the courts of your home jurisdiction.
